The fleet

Five configurations, one operator

In shortVR, triple screen, ultrawide, 3DOF motion and an F1 cockpit. Each publishes its own footprint, power and throughput.

Each is a different product with its own footprint, power draw, throughput and price. We publish all of it, because the right answer for a 10 by 10 booth is not the right answer for a ballroom.

VR racing simulator

Smallest footprint we run at 8 by 8 minimum, with a spectator monitor so the crowd sees what the driver sees. From $5,479 a half day.

Static triple-screen GT

Three panels wrapped around the driver. Peripheral vision without paying for motion.

Static ultrawide GT

One curved panel. Fastest to build, fastest to seat, best cost per guest served.

3DOF motion GT

The whole cockpit moves. Visible from the end of an aisle, which is the point.

F1 cockpit on 3DOF

Reclined formula position on a motion base. The flagship, and the one people ask for by name.

Multi-sim racing

Two rigs make a race. Four or more make a tournament with heats and a live leaderboard. A format, not a fifth product.

Continental US, with freight inside the quoted price rather than added afterwards. What changes city to city is lead time and load-in planning, not what we can bring. A city has its own page only where we have delivered and can show the work.

RaceSimulatorRental.com is an Equation Events brand. One company, one insurance policy, one set of crew, and a decade of corporate event delivery behind it. The 2,000-plus figure covers everything Equation delivers rather than racing simulators alone, and we would rather state that plainly than let a number do work it has not earned.

Every rental is staffed by our own technical event managers. We do not subcontract the people who run your activation, and we do not sell hardware, which means we have no reason to recommend a bigger rig than your goal requires.

Questions

The questions we get asked most

In shortCost, space, power, throughput, staffing, lead time and what we will not do.

How much does it cost to rent a racing simulator?

$5,479 for a half day and $5,919 for a full eight-hour service day per rig on our VR configuration, all inclusive, up to $13,719 for four days. Other configurations publish their own ladders. Nothing is added afterwards: the number we quote is the number we invoice.

How much space does one need?

Our VR rig needs 8 by 8 feet minimum and 10 by 10 recommended, with 7 feet of ceiling. Every configuration publishes its own footprint, because a motion platform needs clearance a headset rig does not.

What power does the venue need to provide?

One dedicated 120V 15A circuit per simulator with two duplex outlets at the rig. Order it before your venue's advance deadline, because on-site power orders cost significantly more.

How many people can one simulator handle per hour?

Published as a range per configuration with the drivers named, rather than a single number. Session length, briefing time, reset time and rig type all move it, and published operator figures across this category run from 8 to 40 per hour, which tells you how much those variables matter.

Do you provide staff?

Always, on every rental. There is no drop-off tier and there never will be. An unstaffed simulator at a corporate event becomes a broken simulator by mid-morning.

How far in advance do I need to book?

Thirty days or more avoids rush charges. Inside 30 days, rush charges apply per staff member. Inside two weeks we do not take the booking at all.

Do you travel?

Anywhere in the continental US, with freight inside the quoted price rather than added as a separate line.

Can you brand it?

On-screen branding and a signage kit are included. Branded leaderboards from $350, custom backdrops at $2,000 which you keep, and cockpit wraps. In-game liveries depend on the title and its licensing, which we confirm per request.

Do you offer 6DOF full motion?

No. Our top motion tier is three axes. Some competitors offer six, and if that is specifically what you need we are not the right vendor.

Do you sell simulators too?

No, and that is deliberate. A vendor who also sells hardware has a reason to talk you into a bigger rig. We do not.

When we are not the right vendor

If your event is inside two weeks, we will not take it. We cannot plan it properly in that window.

If you need 6DOF full motion, our top tier is three axes and some operators go further.

If you are booking a wedding, a birthday or a private party, we will take an inbound booking that clears budget and logistics, but this is not what we are built for and you will get better value elsewhere.

If your goal is quiet, high-value one-to-one meetings, an activation that draws a crowd works against you.
